Set up your facility

Give your team an accurate starting point: the right locations, working hours, equipment, and access.

Configure the operation#

  1. Confirm the facility settings.

    Record the IANA timezone, temperature unit, day start, and actual shifts. Set booking hours and early/late arrival allowances deliberately. Test overnight shifts and midnight boundaries.

  2. Set up locations and doors.

    Separate the facility or plant (yard scope), location or dock group (appointment capacity), and individual doors. Configure equipment profiles, required temperatures, and exception reasons.

  3. Agree on operating terms.

    Define how your team records live visits, customer drops, company trailers, transfers, and unloads. A live driver parked in a row still has an attached trailer until a drop is explicitly recorded.

Assign people and access#

Use named accounts and verify each person’s assigned facility and location. A supervisor can receive a specific facility dispatch grant. Map editing is assigned separately. This is a task guide; the server enforces the actual permission boundaries.

Prepare the yard#

  • Create waiting and parking areas, then register existing trailers and shuttles.
  • Use a table layout when that is sufficient; add aerial geometry when it helps the team.
  • Compare trailer IDs, ownership, load state, holds, and positions with a physical walk-through.
  • Confirm the transportation lead and who owns dispatch for each shift.

Create entrance and exit signs#

Create separate named passes for Entrance — Check in and Exit — Check out. Choose the purpose before creation and print each link while it is available. A lost raw link cannot be reconstructed from its stored hash.

Scan both signs on a real phone and confirm the correct facility and form. Each pass can be revoked independently. Keep live QR images and URLs protected; they contain bearer credentials.

Rehearse before inviting carriers#

Use sample references and known equipment to run a complete visit. Have each role perform their part without coaching. Record unresolved configuration, an owner for each issue, and the manual fallback.
